What we collect and why

When you use the chat widget we may collect the following:

Chat messages — the text of your conversation is sent to Anthropic, Inc. (USA) to generate responses. Anthropic processes this data as our service provider under their data processing terms.

Contact and lead details — if you express interest in our services, the assistant may ask for your name, phone number or email address, and some details about what you need. This information is sent directly to our team by email so we can follow up with you.

IP address and approximate location — your IP address is logged for security and rate-limiting purposes. If you mention your city or region during the conversation, that may also be recorded.

Session transcript — a copy of the conversation may be stored in our website’s database. Personal details (names, contact information, addresses) are automatically removed from stored transcripts before saving.

Legal basis

We process this data on the basis of legitimate interests (Article 6(1)(f) GDPR). We have a legitimate interest in understanding visitor enquiries and following up with prospective customers. This interest is balanced against your rights — we limit retention to [90] days, redact personal details from stored transcripts, and do not use the data for any purpose other than responding to your enquiry.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

If you request a password reset from an automated form, your IP address maybe be collected.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website and ticket system, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Email enquiries are retained in accordance with our general email retention policy.
